DATA PROTECTION

Monitoring:

We reserve the right to monitor all usage of company owned network (Wi-Fi),

devices, systems, and usage of data/information, either with or without notice to

the user.

In addition, with prior approval, we reserve the right to access any company owned

system and/or data/information on personally owned devices if the owner of the

device and a member of our Human Resources team are present and aware of the

business purpose for access. An executive leader (CEO or his designee’s) must give

prior approval to access a personal device for business purposes. If access to a

personally owned device is needed, access to personal information on the device is

strictly prohibited.

Refusal to allow access to company information on personally owned devices may

result in removal of company owned systems and/or information on the device

and/or disciplinary action including and up to termination.

USER ACCESS

Need-Based Access:

Access to information and systems is determined by assigned job responsibilities

and must be granted at the correct level to perform required tasks.

Employee’s system and information access is not determined by job title and/or

employee class, meaning employees in same roles/job families may have different

access to systems and information, depending on responsibilities of the position.

Active Employees:

Employees must be active (in active status) to have access to company systems and

information.

Employees on leave for any reason must have their user access to systems and

information suspended until they return to active status. This includes access to

company email as well as computers and mobile devices, etc. If the employee

returning from leave is transferring to a different job or will complete different job

responsibilities, a new/modify user access request should be submitted to ensure

correct access for the new job requirements.
